Terms & Conditions

1. Registration and Eligibility

1.1 Registration for GSV MUN 2026 shall be considered valid only upon successful submission of the official registration form and payment of the prescribed registration fee.

1.2 Participation in the conference is subject to availability of delegate slots and confirmation by the Organising Committee.

2. Registration Fee

2.1 A registration fee of ₹49 (Rupees Forty-Nine only) shall be applicable for participation in the conference.

2.2 The registration fee, once paid, shall be non-refundable and non-transferable under any circumstances, including but not limited to withdrawal, absence, or disqualification of a participant.

3. Delegate Allocation

3.1 Delegations (countries or portfolios) shall be allocated to participants by the Organising Committee.

3.2 Allocation decisions shall be based on considerations including but not limited to registration order, committee balance, and conference requirements.

3.3 All decisions regarding delegation allocation shall be final and binding, and no requests for reassignment shall be entertained once allocations have been communicated.

4. Conduct and Discipline

4.1 Participants are expected to maintain professional conduct, decorum, and respect towards fellow delegates, the Executive Board, and the Organising Committee throughout the conference.

4.2 Any form of misconduct, including but not limited to disruptive behavior, harassment, use of offensive language, or violation of the conference rules, may result in disciplinary action, including removal from the conference without refund.

4.3 Participants must comply with all instructions issued by the Executive Board and the Organising Committee during the course of the conference.

5. Rules of Procedure

5.1 All delegates shall adhere to the Rules of Procedure and General Guidelines established for the committee.

5.2 The interpretation and enforcement of procedural rules shall rest solely with the Executive Board, whose decisions shall be considered final during committee proceedings.

6. Attendance and Participation

6.1 Delegates are expected to attend all scheduled committee sessions and participate actively in the proceedings.

6.2 Failure to attend sessions without prior intimation may affect a participant’s eligibility for certificates, recognitions, or awards.

7. Conference Schedule

7.1 The conference shall be conducted according to the schedule announced by the Organising Committee.

7.2 The Organising Committee reserves the right to modify, reschedule, or adjust the conference timetable, venue arrangements, or event structure if deemed necessary due to logistical, administrative, or unforeseen circumstances.

8. Certificates and Recognition

8.1 All delegates who successfully participate in the conference shall receive Certificates of Participation.

8.2 Additional recognitions or awards may be conferred based on the evaluation of delegate performance by the Executive Board.

8.3 Decisions regarding recognitions and awards shall be final and not subject to appeal.

9. Photography and Media Consent

9.1 By participating in GSV MUN 2026, delegates grant permission to the Organising Committee to capture photographs, videos, and other media during the event.

9.2 Such material may be used for documentation, publicity, promotional activities, and official communications related to the conference.

10. Liability

10.1 Participants shall be responsible for their personal belongings during the conference.

10.2 The Organising Committee, the Debate & Quiz Club, and Gati Shakti Vishwavidyalaya shall not be held liable for any loss, damage, or theft of personal property during the event.

11. Organising Committee Authority

11.1 The Organising Committee reserves the absolute right to interpret, amend, or enforce these Terms and Conditions, as well as any other rules or regulations necessary for the effective conduct of the conference.

11.2 All decisions taken by the Organising Committee and the Executive Board regarding conference administration, procedural matters, and participant conduct shall be considered final and binding.

12. Confirmation of Participation

12.1 Participants may be required to confirm their participation within the timeline communicated by the Organising Committee after the release of delegation allocations.

12.2 Failure to confirm participation within the specified timeframe may result in the reallocation of the delegate’s slot to another participant.

13. Withdrawal and No-Show Policy

13.1 Participants who are unable to attend the conference are expected to inform the Organising Committee at the earliest possible time.

13.2 In the event of a participant’s failure to attend the conference without prior notice, the Organising Committee reserves the right to restrict the participant’s eligibility for future events organized by the Debate & Quiz Club.

13.3 Registration fees shall remain non-refundable in cases of withdrawal or absence.

14. Delegate Replacement

14.1 In the event that a registered delegate withdraws prior to the conference, the Organising Committee reserves the right to reassign the vacant delegation to another eligible participant.

14.2 Such reassignment decisions shall be made solely at the discretion of the Organising Committee.

15. Acceptance of Terms

By submitting the registration form and completing the payment process, participants acknowledge that they have read, understood, and agreed to abide by all Terms and Conditions governing GSV Model United Nations 2026.
